How to Export Transactions from QuickBooks Online to Excel or CSV
Sooner or later every bookkeeper needs transactions out of QuickBooks Online: to send them to a client, reconcile in a spreadsheet, move to another system or keep an offline backup. QuickBooks Online has no single “Export transactions” button, but there are three reliable routes. Which one to use depends on what you need.
Quick answer
| You need | Use |
|---|---|
| Everything that hit one bank or card account | Account register → Export |
| Transactions filtered by date, account, payee or type | Transaction Detail by Account report → Export to Excel |
| A full copy of all lists and reports | Export data (Settings → Tools) |
| Transactions from a bank file you downloaded (.qbo, .qfx, .ofx) | QBO to Excel converter — no QuickBooks needed |
Option 1: export an account register
The register shows every transaction recorded in one balance-sheet account (checking, savings, credit card), with running balance.
- Go to Accounting → Chart of accounts (on some plans: Transactions → Chart of accounts).
- Find the bank or credit card account and click View register.
- Set the date range with the filter (funnel) icon above the register.
- Click the Export icon above the right side of the register (it looks like an arrow out of a box) and choose Export to Excel.
You get an .xlsx file with date, reference number, payee, memo, account, payment, deposit and balance columns.
Only transactions that were added or matched are in the register. Items still waiting in Banking → For review are not exported — accept or match them first.
Option 2: Transaction Detail by Account report
Reports are more flexible than the register: you can include several accounts, filter by payee or transaction type and choose the columns.
- Open Reports and search for Transaction Detail by Account (for a flat list by date, use Transaction List by Date).
- Set the Report period.
- Click Customize → Filter → Distribution account and pick the bank or card accounts you need. Under Rows/Columns you can add or remove columns such as Memo, Payee, Split or Class.
- Run report, then use the Export icon → Export to Excel (or Export to PDF).
The Excel file contains report headings and subtotals. To get a clean table, delete the header rows and the “Total for…” lines, or copy only the transaction rows into a new sheet. Save it as CSV with File → Save As → CSV UTF-8 if another tool needs CSV.
Option 3: export all data
For a backup or when leaving QuickBooks Online, Settings (gear) → Tools → Export data downloads a ZIP of reports and lists (customers, vendors, chart of accounts, general ledger and more) as Excel files. It is the most complete option, but the files are large and need cleaning before you can work with individual transactions.
Exporting a bank file instead of QuickBooks data
Sometimes the data you need is not in QuickBooks yet — it is a .qbo, .qfx or .ofx file your bank gave you. You don’t need to import it just to read it: drop it into the QBO to Excel converter or the QBO to CSV converter. They run in your browser, so the statement is never uploaded.
Common problems
The export has fewer transactions than the bank statement. Unreviewed bank feed items are not in the books yet. Check Banking → For review and the date filter.
Amounts are all positive. Registers and reports split money out and money in into separate columns (Payment / Deposit, or Debit / Credit). If you need a single signed amount column, add a formula like =Deposit − Payment in Excel.
Dates import as text in another tool. Re-save the file as CSV with one consistent date format, or run it through the CSV converter and choose CSV as the output — it writes MM/DD/YYYY dates and signed amounts.
