How to Import Bank of America Transactions into QuickBooks (Web Connect, QBO, CSV)

By ConvertQBO Team ·

Bank of America supports QuickBooks for checking, savings, money market and credit card accounts. According to Bank of America, you need QuickBooks Online or QuickBooks Desktop 2018 or later to download account information from Small Business Online Banking. Here are the ways to do it, and the fixes for the problems people hit most often.

Bank of America’s menus change from time to time and differ between personal, Small Business and CashPro online banking. Look for a Download link or icon on the account’s activity page.

Option 1: connect the account (Direct Connect / bank feed)

QuickBooks Online: Banking → Bank transactions → Connect account, search for Bank of America (choose the right one — personal, Small Business or CashPro), sign in, then map each account.

QuickBooks Desktop: Banking → Bank Feeds → Set Up Bank Feed for an Account, search for Bank of America and choose Direct Connect if offered, then sign in with your Online Banking credentials.

Transactions then download automatically. For months before the connection, use Option 2 or 3.

Option 2: download a Web Connect file

Web Connect means you download a file from Bank of America and QuickBooks imports it.

  1. Sign in to Bank of America online banking on a computer and open the account.
  2. On the activity page, choose Download.
  3. Pick the date range and the file type: QuickBooks / Web Connect (.qbo) if listed, otherwise Quicken (.qfx) or Microsoft Excel / CSV.
  4. Import the file:
    • QuickBooks Desktop: File → Utilities → Import → Web Connect Files, then review in the Bank Feeds Center.
    • QuickBooks Online: Banking → Link account ▾ → Upload from file.

For business credit cards, the download is on the card’s Activity tab: choose the file type, then download the transactions.

“The uploaded file isn’t a valid Web Connect file”

Some users report that Bank of America gives them a .QFX (Quicken) file, or a file that QuickBooks Desktop refuses as Web Connect. QuickBooks Desktop only imports .qbo files as Web Connect.

Fix: drop the file into the QFX to QBO converter and download a .qbo file. Dates, payees, memos, check numbers and transaction IDs are copied as-is. If QuickBooks Desktop then says the bank is not supported, open Settings in the converter and try another bank ID — see what is a QBO file for why.

Option 3: CSV or Excel to QBO

If you downloaded CSV / Excel (or only that works for the account):

  1. Drop it into the CSV to QBO converter (Excel files: Excel to QBO).
  2. Check the detected columns and the preview: money out negative, money in positive. For a credit card, pick Credit card as the account type and use Reverse signs if purchases appear positive.
  3. Download the .qbo file and import it as above.

QuickBooks Online can also upload the CSV directly (guide), but the QBO route avoids column mapping and protects you from importing duplicates.

Older months

Online downloads cover a limited period. Older months are available as PDF statements. Extract them to a spreadsheet (PDF bank statement to Excel), then convert to QBO, and reconcile each month against the statement balances.

Tips

  • Back up your QuickBooks Desktop company file before the first Web Connect import.
  • Import each account separately and make sure the file goes to the right QuickBooks account.
  • Don’t import the same dates through both Direct Connect and a file.
  • Connection errors (102, 103, 324…)? See QuickBooks bank feed errors.
