How to Convert a QBO File to PDF (Readable Bank Statement)

By ConvertQBO Team ·

A .qbo file is a bank statement for software, not for people. Open one in a text editor and you see tags like <STMTTRN> and <TRNAMT>-54.20. When an auditor, lender or client asks for “the statement as a PDF”, you need to turn that data into a readable table first. Here is the quickest free way.

If you mean a QuickBooks report (profit and loss, transaction detail), that is different: open the report in QuickBooks and use Export → Export to PDF. This guide is about .qbo bank files.

Step 1: convert the QBO file to Excel

  1. Open the QBO to Excel converter and drop the .qbo file (QFX and OFX files work too).
  2. Check the preview: number of transactions, date range and totals in and out.
  3. Click Download Excel. You get a workbook with Date, Description, Amount, Memo, Check Number and the transaction ID.

The conversion runs in your browser; the statement is not uploaded anywhere.

Step 2: make it look like a statement

In Excel (or Google Sheets, or Numbers):

  1. Insert a few rows at the top and add a title: account name, the last four digits of the account number and the period, e.g. Business Checking ••••1234 — October 2026.
  2. Format the Amount column as currency and the Date column as a date.
  3. Optional: add a running balance. If the opening balance is in cell C5 and the first amount in C7, put =C5+C7 in D7 and =D7+C8 in D8, then fill down.
  4. Add totals at the bottom with =SUMIF(C7:C200,">0") for money in and =SUMIF(C7:C200,"<0") for money out.
  5. Delete the FITID column if you don’t need it.

Step 3: save as PDF

  • Excel (Windows/Mac): File → Save As (or Export) → PDF. In Page Setup, choose Fit all columns on one page so the table doesn’t split across pages.
  • Google Sheets: File → Download → PDF, set Fit to width.
  • Numbers: File → Export To → PDF.

Is this an “official” bank statement?

No. A PDF you create from a .qbo file is a transaction report, not a document issued by the bank. It is fine for bookkeeping, internal reviews and sending a client a readable list. When a lender, landlord or court needs an official statement, download the PDF statement from your online banking or ask the bank.

Faster alternative: CSV

If the recipient just needs to look at the numbers, a CSV export opens in any spreadsheet app and is often more useful than a PDF.
